Data retention
Understand how long materials may be kept, how lifecycle tools work, and where to manage your data.
Overview
Data retention describes how long information remains available and what happens as cases age, move to trash, or reach policy limits. My Data and related lifecycle tools help you see status and take allowed actions. Retention works alongside legal holds and your own exports.
Why this feature exists
Clear retention expectations reduce anxiety. You should know that materials won’t vanish without orientation — and that you have tools to manage what you can.
Step-by-step
- 1
Open My Data
Go to Settings → My Data for a calm view of your information and lifecycle options.
- 2
Review retention and lifecycle status
Note anything scheduled, held, or awaiting action so you’re not surprised later.
- 3
Export what you need to keep offline
If you need a personal archive, create an export while materials are available.
- 4
Use Trash and restore intentionally
Move to Trash for mistakes; restore promptly if you still need an item in the active case.
Best practices
- Don’t rely on memory for retention windows — check My Data periodically.
- Keep offline copies of court-critical documents you must retain independently.
- Read Trust Center and privacy materials for the broader policy picture.
Productivity tips
- After closing a matter with counsel’s guidance, decide deliberately what to export and what to remove.
- Set a calendar reminder to review My Data every few months for long-running cases.
Common mistakes
- Assuming trashed items remain forever without checking policy.
- Waiting until after a retention event to look for a file you still needed.
